Set an interpreter's employment type and pay rates

Choose 1099 contractor or W-2 employee per interpreter and set their base, travel, and differential rates.

Pay terms are set per relationship, so the same interpreter can be a contractor at one agency and an employee at another. Only owners and admins can manage rates.

Step by step

  1. 1On the Interpreters tab, click an interpreter to open their detail slide-over.
  2. 2Choose "Propose rates" (managers only) to open the rate editor.
  3. 3Set the employment type (1099 contractor or W-2 employee), base hourly rate, travel rate, minimum billing duration, and cancellation policy.
  4. 4For W-2 employees, also set overtime thresholds and multipliers and an informational PTO balance, which appear only for the employee type.
  5. 5Add any named differential rates (for example night or weekend) using the rate editor.
  6. 6Save to send the proposal; the interpreter is notified and the rates take effect once they approve.
  7. 7When an interpreter counter-proposes their own differential rates, open the deep-linked notification to review their proposal and Approve or Reject it.

Tips

  • Coordinators cannot view or change pay rates, this is enforced both in the interface and in the data rules.
  • PTO balances are informational only and may go negative; they do not block scheduling.
  • Rate negotiation is two-way: you can propose rates to the interpreter and they can propose rates back to you for approval.
