Export a billing cycle to CSV
Download a whole billing cycle of invoices as a spreadsheet, either a safe file for importing into QuickBooks or an internal file with the full detail.
If you would rather import invoices into your accounting system in one go than sync them one at a time, you can export a whole billing cycle. There are two separate files and the difference between them matters, because only one of them is safe to hand to QuickBooks.
Step by step
- 1Open Billing and go to the Invoices tab, then find the export bar above the list.
- 2Step through to the billing cycle you want, or set your own start and end dates, and optionally narrow it to one customer.
- 3Check the count and total shown, and read the report of anything being left out.
- 4Click "Download QuickBooks CSV" for the file you can import into QuickBooks.
- 5Click "Internal detail CSV" only for your own records. You will be asked to confirm first.
Tips
- 🔴 The two files are not interchangeable. The QuickBooks file carries no consumer or interpreter names by design. The internal file does, which is why its name ends in _INTERNAL_DO_NOT_UPLOAD. Never upload that one to QuickBooks or any other outside system, because uploading a spreadsheet of names is the same disclosure as sending them over the connection.
- Exporting needs Billing access at the Manage level.
- QuickBooks matches customers and items by name when it imports a file, whereas the direct sync matches by id. Confirm your customer names line up before importing, because a near miss creates a duplicate customer and splits that account's receivables in two.
- A large cycle is split into several files. Import them one at a time, in order.
- Exported invoices are marked as exported rather than as synced, so you can still sync one through the connection later without it being treated as already sent.
