Send invoices from your own mailbox
Connect your own email account once, so the invoices you email to your freelance clients come from your address and their replies land in your inbox.
OneTerp emails your invoices through your own mailbox, not from a OneTerp address, so your client sees your name in the From line and their reply comes straight to you. It is a one-time setup in Account Settings and takes about five minutes. Most providers need an app password rather than your normal login password, so have that ready first.

Step by step
- 1Open Account Settings from the bottom of the sidebar, then the "Freelance Tools" tab.
- 2Scroll to "Email sender for invoices". It sits under the two switches that show or hide your freelance tabs and the Log Job button.
- 3Get an app password from your email provider. Open "Where do I find these settings?" at the bottom of the form: Gmail, Microsoft 365 and a few others each have their steps listed there.
- 4Fill in the From address, SMTP host, SMTP port and SMTP username. From name and Reply-to are optional.
- 5Paste the app password, then click "Test & connect". OneTerp sends a test message first and only saves the settings if that message goes through.
Tips
- Port 465 goes with "Use SSL/TLS" ticked; port 587 goes with it unticked. If the test fails, try the other combination, and check you pasted the app password, not your login password.
- Microsoft 365 uses smtp.office365.com on port 587. Microsoft often has SMTP switched off, so an admin may need to turn it on.
- No mailbox connected? You can still build, print and download invoices. Only emailing them needs a connected sender.
- The section appears once you have OneTerp Premium, because emailing invoices is part of Premium.
- This is your own sender for your freelance invoices. An agency's scheduling email is set up separately, by the agency, under its own settings.
