Government/school mode is the agency experience minus the dollars. Your organization schedules, dispatches, and reports hours exactly like an agency, but there are no invoices, rates, or payroll amounts anywhere, because your own payroll and finance systems handle the money.

Step by step

  1. 1Government and school organizations are set up by the OneTerp team under contract. Contact us to get provisioned, and you'll receive an owner invite to your new organization.
  2. 2Add your sites as customers: each school, court, or department is a customer record, its rooms or campuses are locations, and the people you serve (students, defendants, patients) are consumers.
  3. 3Build your interpreter roster and schedule jobs on the dispatch board exactly like an agency.
  4. 4Let site staff request interpreters through the booking portal, and acknowledge or confirm requests through the Confirmations workflow.
  5. 5If a job runs long or short, edit the assignment's times afterward; hours reports use the scheduled times, so keeping them accurate keeps your reports accurate.
  6. 6Run the Hours by Site report for per-school or per-department hours, the number you need for budgeting and compliance.

Tips

  • There are no closeouts to audit and no invoices to build; the whole billing tail is removed, not just hidden.
  • Staff pay never lives in OneTerp; feed reported hours into your own payroll/HR system.
  • Everything else in the agency help articles (dispatch, roster, tags, documents, reports) applies to your organization as written.
